Important Safety Warning: Beware of the “Customs Duty Phishing Scam.” Scammers are sending massive waves of fake SMS and WhatsApp messages claiming your DHL package is “held at customs” and providing a link to pay a small clearance fee or download an APK tracking app. This is a scam. DHL will never ask you to download a third-party APK, and official duty payments are always routed securely through dhl.com.
Level 1: Customer Support (Initial Complaint)
How to complain: Do not search for random phone numbers online. Open the DHL India website and navigate to dhl.com/in-en/home/contact-us.html. You can log your initial ticket using their digital web form for the fastest routing. You can also call their official toll-free national customer care helpline at 1800-200-1345. You must ensure you receive a unique Service Request (SR) number.
Availability: The customer care helpline and digital web forms operate Monday to Saturday from 8:00 AM to 8:00 PM IST.
Timeline: DHL aims to respond to initial tickets within 24 to 48 hours. Complex customs clearance investigations may take longer.
Level 2: Internal Escalation (Head of Customer Service)
Who to contact: If Level 1 fails to resolve your issue (such as an unexplained hold, missing package, or damaged goods), you must escalate it internally. Do not send a physical letter yet. DHL operates a dedicated escalation portal called “Straight to the Top.” You must visit the DHL India website, navigate to the Contact Us page, and select the option to email the Head of Customer Service. You must include your original Waybill number and Level 1 SR number.
Timeline: The Senior Management team at the Customer Service desk is mandated to review these escalations and respond within 1 to 2 working days.
Level 3: Final Internal Escalation (Country Manager)
Who to contact: If the Head of Customer Service fails to resolve a serious dispute, you can escalate to the highest internal authority in India. Using the same “Straight to the Top” portal on the DHL website, select the option to directly email the Country Manager / SVP of DHL Express India.
Timeline: The Country Manager’s executive desk aims to provide a final corporate resolution within 2 to 3 working days.
Level 4: Regulatory Authority (National Consumer Helpline)
Important Legal Nuance: If your package is delayed because it is seized or held by Indian Customs for inspection or unpaid duties, DHL is not legally liable for the delay. They act only as a Customs House Agent (CHA).
Authority & Portal: If DHL’s executive desk rejects your claim for a lost or damaged package, you have exhausted internal remedies. You must register your grievance on the National Consumer Helpline (NCH) by calling 1915 or visiting consumerhelpline.gov.in.
Level 5: Legal Action (Final Step)
Pre-Litigation: Ensure you have documented all correspondence, including the commercial invoice of the shipped item, photos of damaged goods, and the final rejection from the Country Manager. Court/Arbitration: If pre-litigation fails, file a formal complaint for “Deficiency of Service” against DHL Express (India) Pvt. Ltd. You can file this case entirely online with the District Consumer Disputes Redressal Commission using the government’s unified e-Jagriti portal (e-jagriti.gov.in).
